Thoughtium is seeking a reliable, well-organized Operations Manager to lead the day-to-day operations of the firm with a focus on efficiency and time management. The Operations Manager will be responsible for managing day-to-day operations of the firm, partnering with the Executive Team to design operational strategies and frameworks, and to lead the development of scalable and right-sized internal processes. The day-to-day operations includes managing client billing and contracting, portfolio and pipeline reporting, project coordination and task completion.

We’re looking for an energetic professional who enjoys wearing  multiple hats. The Operations Manager will have responsibility for generating insights that will aid in the growth of the business and overall approach with business development and client management.

  • Develop organizational processes and systems for operations, including content management, billing, accounts payable, payroll and scheduling

  • Manage client billing processes including contract development, invoicing, accounts receivables/payables, and client communication for billing purposes

  • Develop and manage internal reports and tools that provide insights and trends to the Thoughtium Executive Team on business health and operations

  • Plan and contribute to monthly and quarterly Executive Team leadership meetings

  • Improve employee and client retention rates through active communication and problem-solving efforts

  • Continue education in management, organization and team-building skills

  • Manage master calendar, including key client engagement schedules, target dates and deadlines, and internal schedules


  • 3-5 years experience in operations, office management, chief-of-staff role, or similar related field

  • Experience analyzing or managing P&L, projects, or project portfolios preferred

  • Experience using QuickBooks and accounting-related software

  • Proficient at Microsoft Office Suite products (Ppt, Word, Excel) and/or Google Suite products (Slides, Docs, Sheets)

  • Excellent written and verbal communication abilities

  • Excellent problem-solving skills

  • Ability to use and learn new technology

  • Project management experience

  • Ability to work independently, meet deadlines and produce results
