The Role
Business Management and Operations serve as a strategic engine for Thoughtium, shaping how we plan, perform, and scale the firm. As the Operations Manager, you will play a critical role in building and strengthening the systems, processes, and operational discipline that powers our business.
You will own core operational and financial processes, including business analytics and reporting, billing, expense management, and internal controls — ensuring accuracy, consistency, and reliability across the firm. You will help improve operational health and margin by strengthening forecasting, tracking performance against plans, and increasing the ROI of internal initiatives.
In close partnership with firm leadership, you will elevate decision enablement by improving data quality and operational insight for the Leadership Team and Partners. Your work will reduce friction, increase confidence in our numbers, and create a stronger foundation for scalable growth.
This is a hands-on, high-impact enablement role, one that strengthens Business Excellence as a strategic capability and helps Thoughtium operate with greater clarity, resilience, and precision at a pivotal stage of growth.
Business Excellence & Performance
- Bring a strategic systems mindset to right-size processes, tools, and data to drive current business needs, and anticipates future growth
- Design and optimize Thoughtium standards, systems, processes and tools that improves effectiveness
- Deliver end-of-month executive reporting and maintain dashboards that translate data into insight-ready trends for leaders
- Strengthen forecasting accuracy and performance transparency through disciplined data management
- Apply strategic, analytical thinking to interpret operational and financial data that enables informed decision-making
- Partner with the Director of People to plan and execute high-quality in-person team experiences, gatherings, and employee experience needs
- Provide hands-on, in-person support for office management and creating an optimized workplace experience
Business Operations
This role has clear, recurring ownership. On a monthly basis, the Operations Manager will be accountable to:
- Own and continuously strengthen core operational processes, including expense management, client invoicing, A/R and A/P, and resource management with precision and consistency
- Manage monthly invoicing process across all systems, including forecasting models, pipeline tracking, and client procurement
- Collect, review, and ensure accuracy of Thoughtium team expense reporting
- Manage monthly A/R and A/P, tracking outstanding items and following up as needed
- Manage 1099 partner relationships, including onboarding, 1099 SOW’s, and delivery to enable power partnerships
- Independently take initiative to anticipates needs and drives operational excellence
Business Strategy
- Contribute to the annual planning, rolling forecasts, and capacity planning through accurate data, operational inputs, and execution follow-through
- Translate strategic priorities into operational actions, timelines, and systems enablement
- Ensure operational readiness as the firm evolves priorities and scales
You Have:
- 3-5 years in operations, project management, consulting, or a related role, ideally within a professional services or project-based environment
- Builder’s Mindset: Demonstrated ability to create structure where it does not exist, translate strategy into action, and developing repeatable practices
- Systems Thinking: Strong ability to bring clarity, structure and action across people, processes and tools that drives business results
- Forecasting & Performance Insight: Experience with forecasting, reporting, and turning data into actionable insights
- Influence & Collaboration: Effectively work up, down, and across the organization to drive high alignment and impact results
- Technology and Systems: Experience with modern collaboration, productivity, and reporting tools.
